Back Office Streamlining & Collaborative Working

We've all been there, reams and reams of paperwork that is chaotic and disorganised and easily lost! The problem that this poses is that it is not conducive to collaborative working, whether that be in an industry such as recruitment where multiple colleagues may require access to a candidate's CV or their personal details as they are all trying to place that candidate, or whether it is an accountants where multiple people need to work remotely but all need to share work with one another. Paperwork, does not work in this case - but what can be done? Office 365 has a raft of features that can streamline your back office processes and allow for a more collaborative working environment whether that be on site or remotely.

SharePoint


SharePoint is an online platform designed for collaboration. SharePoint empowers teamwork with dynamic and productive team sites for every project team, department, and division. Share files, data, news, and resources. Customise your site to streamline your team’s work. Collaborate effortlessly and securely with team members inside and outside your organisation, across PCs, Macs, and mobile devices. SharePoint is a fantastic asset within Office 365 that allows access to all files that are stored there from any device. As mentioned above, if users have to work remotely but need access to documents that are stored on their company SharePoint, they are able to access all of these and continue working from any device, whether that be a tablet, laptop, desktop or even a mobile.

The great thing about SharePoint is that when you make changes to the document, it automatically syncs and edits the file so that any others that want to view the document are able to see the changes you've made without having to email the document and wait on an email back. Permissions can also be set up so that clients are able to access certain files within SharePoint. For example, going back to a recruitment agency, you can set up a SharePoint file for a customer so that they can easily see candidate's CV's and make notes/adjustments where required, without having to have the back and forth of an email chain and run the risk of not responding to the most recent email and missing a key detail.

Another great feature about SharePoint is that it is completely customisable to a customer's requirements and can be set up in any way that they like. We have built numerous SharePoint sites for our customers based on their specific requirements, setting up different permission levels, access rights and layouts tailored to our customer's requests. This bespoke creation can feature your own logos and any personal touches you may want to add!

Teams


Teams is a chat based platform that allows for employees to easily communicate instantly with other colleagues whether that be privately or in a “Team” which is essentially a professional group chat. With Teams you are able to share files, emojis, start video/audio meetings and even schedule meetings all within the one window.


Teams is something that we at Quintech use on a daily basis as it allows for a collaborative working atmosphere and for ideas to be shared instantaneously.

Teams works very much in the same way as an application like "Whatsapp" does in that it is an instant communication platform that removes the need for constant back and forth emails. You are able to configure different conversation groups or "Teams" such as "Sales" "Marketing" or "Office" meaning that you can communicate confidentially with certain groups of individuals as well as being able to share files instantaneously or even host phone/video calls - from any device.

Having the ability to hold a video call whilst still being able to share files/ideas all from one platform is another fantastic step that businesses can take towards back office streamlining as well as a more collaborative working environment, no matter where the employees are. They could be in the office, at home, or even on a beach in the Bahamas, they'll still be able to use Teams to communicate with the office.
